Using SmartCapture by Importing Electronic Document

SmartCapture can also extract data from existing electronic files without needing to scan paper documents.
Supported file types include BMP, PNG, JPEG, TIFF, and PDF.
You can import these files into SmartCapture in two easy ways: dragging and dropping them into the application, or saving them to a special “Hot Folder” that SmartCapture monitors for automatic processing.
Adjusting SmartCapture Settings
Click on the "" Settings button to open the SmartCapture configuration options.
There, you’ll find many different settings to customize your data capture process.
Select OCR Language
Choose your preferred OCR language(s) to improve text recognition accuracy.
🔍 Note: Selecting multiple languages is possible, but may slow down processing speed.
Set Application Label
Use this option to define the Application Label, which helps identify the task or document type during processing.
Define Output Folder
Specify the name of the output folder, which will be created within the file path you previously set.
This is where extracted data and processed files will be saved.
Export Application or Import Application Settings
Click Export Application to save your current SmartCapture extraction settings.
On another computer, click Import Application to load the saved settings.
This makes it easy to apply the same configuration across multiple systems.
Importing Electronic Documents into SmartCapture
Once all SmartCapture settings are configured, you can begin importing electronic documents for processing by:
a) Drag and Drop
Drag the file (BMP, PNG, JPEG, TIFF, and PDF) directly onto the Electronic Import button in the SmartScan interface.
b) Save to Hot Folder
Place the file into the following directory on your computer:
C:\Users\User\Documents\SmartCapture\Hot_Folder
SmartCapture continuously monitors this folder. Once a file is added, it begins processing automatically.
Starting OCR and Data Extraction
After importing a document, a dialog box will appear.
Click "Run Now" to begin the process.
*The OCR read-out will start, where SmartCapture analyzes the document and extracts the relevant data.
*Once OCR is complete, SmartCapture will open in a new window, displaying the captured data for review or export.
