SmartCapture is a powerful feature within the SmartScan software that simplifies your document workflow. It combines scanning and data extraction into a single, seamless process — saving you time and improving accuracy. Instead of scanning documents first and then using a separate tool to extract data, SmartCapture lets you do both at once. It’s designed to work with your Plustek scanner and can also process existing electronic files like PDFs and image formats.
What SmartCapture Can Do
•Classifies your documents automatically
•Extracts key data fields (like names, invoice numbers, or dates)
•Uses anchor points to remember where that data is located — this means: Once you scan and identify fields in a document type (e.g. an invoice), SmartCapture remembers them for the next time. No need to reselect those fields again, as long as the document layout stays the same.
Method 1: Scan with Your Plustek Scanner
Make sure your scanner is connected and SmartScan is running.
On your scanner, press the button labeled “3 SmartCapture”.
This button is preconfigured to launch SmartCapture directly.
The document will be scanned, and SmartCapture will open automatically.
SmartCapture will try to:
•Identify what kind of document it is (e.g., invoice, PO, forms)
•Find and extract important data based on your saved templates
Tip: You can customize what the scanner buttons do by right-clicking them in the SmartScan interface. You can change the button name, scan settings (like resolution), or the data extraction task it runs.
Method 2: Import an Electronic Document
SmartCapture also supports importing files directly, so you don’t need to print and rescan digital documents.
Supported file types: BMP, PNG, JPEG, TIFF, and PDF
There are two ways to import a file:
•Option A: Drag and Drop
Open SmartScan.
Drag your file onto the Electronic Import button in the software.
The button is usually labeled or has an import icon.
SmartCapture will automatically begin scanning and extracting data.
•Option B: Save to “Hot Folder”
Save your file in the following folder on your PC:
C:\Users\<YourUsername>\Documents\SmartCapture\Hot_Folder
SmartCapture monitors this folder in the background.
When a file is added, SmartCapture:
Automatically imports it
Runs the assigned data extraction template
Note: Replace <YourUsername> with your Windows username. You can also create a shortcut to this folder for easy access.
